Joining Process of Government Sector
In this blog we will get to know the complete joining process of any Government Department after declaration of Final Result of any examination.
The Joining Process is almost same in every Government department. Let us see the different stages of Joining process.
- Offer of Acceptance
Once the final result is out, the recruitment boards forwards Dossiers of the selected candidates to their respective allotted Departments. The Department sends Officer of Acceptance to the selected candidate at his postal address which the candidate had given at the time of document verification. Some Departments have started sending Offer of Acceptance via e-mail as well but the candidate will definitely get it through post as well. Some times Offer of Acceptance has attestation form along with it but not always.
Here a question comes - What is Offer of Acceptance?
The Offer of Acceptance is a letter consisting offer of job with some terms and conditions. Generally the time to submit candidate's acceptance is 7-10 days, however, it can vary from Department to Department. The candidate has to send his Acceptance back in YES or NO to the Department allotted to him.
What is Attestation Form?
Attestation Form is a set of some requisite particulars which the candidate has to fill including Family details, Residence of last 5 years (Present Address), Permanent Address (Your Hometown), etc. Departments need 3 or 5 copies all in candidate's hand writing.
- Medical Test & Police Verification
Once the candidate sends duly filled attestation form back to the Department, after some time (depends on the Department) the candidate is asked for Medical Test. It depends on the Department whether it wants Medical Test to be done in a particular Hospital or it allows candidate to bring Medical Test Certificate from any Authorized Government Hospital. Medical Test includes many tests such as Blood Test, Urine Test, Eye Test, Sugar Test, X-Ray, ECG, Blood Pressure, etc. But it also varies from Department to Department. Sometimes these many tests are not required and only a few from these tests are done. The Medical Test Report is either directly sent by the Hospital or they give the report in sealed envelop to the candidate so that he/she can submit it in the Department.

Police Verification is generally done after joining because sometimes it takes a lot of time to receive Police Verification. The Police Verification is done on both Present Address and Permanent Address that's why many Departments give Joining before receiving Police Verification Report. But many Departments wait till Police Verification Report comes.
What is Police Verification and how it is done?
Police verification is all about getting information about the candidate and check candidate's criminal history. An Officer of Special Crime Branch visits the candidate's address and verifies his/her address to verify address and other documents. He will also ask for two neighbors who will verify candidate's details in front of the Officer. They will also have to provide their self-attested ID Proofs.
Following are the steps of Verification
- Verification of Residential Address
- Verification of Documents Furnished by the Candidate
- Verification of Criminal Records, if any
Once all these steps are done the Police Department will forward the Police Verification Report to the Department of the Candidate. If candidate's Residential Address and Permanent Address are different then Police Verification will be done on both addresses given by the candidate.
- Offer of Appointment
Once all aforesaid formalities are done, the Department sends Offer of Appointment either by Post or it calls the candidate to collect it. The candidate has to join within 7-10 days or it can be decided by the Department. If a candidate wants extension then he/she can give application to this Department and seeks extension. It is totally on the Department whether it gives extension or not.
What if the candidate is already a Government Employee?
If the candidate is already a Government Employee then he/she doesn't need to undergo Medical Test and Police Verification. The employee needs to ask his present Department to forward his Medical, Educational and Police Verification related documents to the new Department. To avoid Medical and Police Verification there should not be a single day gap in service. Single day gap means that if an employee get relieved in afternoon then he/she needs to join the new Department in the forenoon of the next day otherwise it will be taken as break-in-service.

ReplyDeleteYes, why not but for this you should know exactly how many vacancies are there in a particular department for your State and that you can ask from each department through RTI.
