DUTIES AND POWERS OF STENOGRAPHER



Whenever we prepare for any job in any sector we should be aware of the duties, responsibilities and powers, obviously. Today, you will get to know the Duties of a Stenographer.


  • Taking dictations comes under the primary duty of a Stenographer. The Officer dictates a letter, note or any other work related to office.
  • Handling telephone calls is one of the important duties of a Stenographer. Telephone calls from other Ministries/Departments/Offices or Officer can ask his Stenographer to make calls to Officers of other Ministries/ Departments/Office.
  • Now a days communications become easy with the help of E-mails, the easiest form of communication. The Stenographer should be well equipped with these basic skills so that he can perform his duties with utmost satisfaction of the Officer.

  • Files which are related to the Portfolio of your Office are very important to keep safe with proper maintenance. The File Board, File Cover should be in proper manner. Flagging of important pages is important before the file reaches to your Officer so that he can easily go through the file quickly.
  • Officers usually attend a lot of meetings throughout the week. It is the duty of a Stenographer to prepare all meeting related documents ready for his Office and gives the same to him at least 1 hour prior to the meeting. Documents such as Minutes of last Meeting, relevant data related to meeting, etc.

  • Maintaining daily engagements is a duty which the Stenographer should always keep in mind as his first work once he reach his work place. However, it is recommended that the Daily Engagement should be placed before the Office in the last session of the day i.e. Evening. Before you leave the office, you should place is before your Officer so that if he comes office before you, he can have the schedule for that day. Officers are really strict in this work because they plan their future engagements accordingly.
  • Many times the stenographer will be asked to do typographical work such as typing directly from some sources or correction in the drafts received from sub-ordinates of the Officer. Thus, the Stenographer should be good at typing.
  • Use of E-office software in Ministries/Departments is common now a days. The Stenographer will get training to use it but he/she should be a quick learner because at the end it will help you. Don't worry, using E-office software is easy and it is a one day work to learn.

  • Handling visitors with politeness and professional manner should be a habit of a Stenographer. Many times visitors come from remote areas but the Stenographer should not treat them differently. They should also be treated equally. The more respect you give, the more you get for yourself.
  • Officers have to go outstation or abroad for some meetings or seminars. In the absence of the Officer it is the duty of a Stenographer to maintain the Chamber of Officer as well as his own. He should keep eyes on certain things for example whether there is need for Whitewash or other cleaning, whether AC or Room Heater is working properly or not, whether excessive rough papers are there on the table of Officer or not.
  • If a Stenographer keeps all these things in mind, he/she will never face any difficulty at work place.
  • Yes, you read it right. There is no power vested with a Stenographer. A Stenographer never uses his brain on any file/routine work that's why he is left with no power, however, no Officer has any power with him because all Government Officers are bound with Rules already framed and they also implement the same and nothing from their will.

    1. Yes, there are department like CBDT or LBSNAA but it depends whether vacancies are there or not.

    3. SSC won't give you this information. You need to file RTI to specific department for example CBDT, Agriculture, etc.
